Terms & Conditions
The agreement between TeamGuard and the companies that use the service.
Last updated: 13 July 2026
1. The agreement
These Terms & Conditions govern your company’s access to and use of the TeamGuard platform (the “Service”). By creating an account you confirm you are authorised to bind your company to these terms.
2. Accounts & access
The person who creates the account becomes the account Owner and is responsible for their company’s use of the Service, including managing staff accounts, roles and data. You must keep credentials secure and are responsible for activity under your account.
3. Subscription & billing
The Service is billed per active staff seat, monthly, in advance. A free trial may be offered; after it ends a valid payment method is required to continue. Fees are non-refundable except where required by law. We may suspend or revoke access for non-payment.
4. Your data
Your company retains ownership of the data you enter (staff, sites, shifts, incidents, and related records). We process it solely to provide the Service, in line with our privacy practices and applicable data-protection law (including UK GDPR). Each company’s data is kept separate from every other company’s.
5. Acceptable use
You agree not to misuse the Service, attempt to access another company’s data, or use it unlawfully. You are responsible for the accuracy of records you create, including safety-critical records such as check calls and incident reports.
6. Safety features
TeamGuard provides tools to support lone-worker safety (check calls, escalation, emergency alerts). These are aids, not a substitute for your own safety policies, procedures and supervision. You remain responsible for the safety of your staff.
7. Availability
We aim for high availability but do not guarantee the Service will be uninterrupted or error-free. We may carry out maintenance and will endeavour to minimise disruption.
8. Termination
You may cancel at any time; access continues until the end of the current billing period. We may suspend or terminate accounts that breach these terms. On termination you may request an export of your data within a reasonable period.
9. Liability
To the extent permitted by law, the Service is provided “as is” and our liability is limited to the fees paid in the preceding twelve months. We are not liable for indirect or consequential loss.
10. Changes
We may update these terms from time to time. Material changes will be notified in advance. Continued use of the Service after changes take effect constitutes acceptance.
